Quotations

AES Southern Limited accept no work prior to providing a quotation for all enquiries, and receiving written (or email) confirmation that the quote has been accepted.

A technical drawing and a site plan should be provided at quotation stage where possible, to enable the Assessor to gauge the complexity of the project. The time required to create a reasonable quotation is closely linked to the configuration and complexity of the site.  To offer a fair service, AES Southern Limited give consideration to the number of unique or repeat units on any given site.

To avoid escalated administrative costs, AES Southern Limited add the charges for the production of final EPC Certification to the SAP calculations costs, under the assumption this is paid at the time of settling for the SAPS.  The EPC can then be provided as required without further administrative burden or deley.  EPCs will not be provided prior to completion of financial matters. 

Unfortunate experiences with certain clients forces the necessity of having to request payment prior to finalising our commitment with the client.

Timescales

Turnaround times vary depending on the workload.  AES Southern Limited aim to complete within four weeks, although practically speaking this is not always possible.  Urgent cases will be responded to accordingly, but time should be allowed to avoid panic actions.  Where the Builder has started work prior to obtaining a SAP calculation AES Southern cannot be held responsible for failing to provide compliance for the Developer.  An estimation of delivery time will be indicated prior to acceptance of the work.

We do urge both existing and potential clients to instigate SAP assessments at the earliest opportunity in the design stage process to gain maximum benefit from our ability to advise and support.

The production of the As Built SAP can then be provided on the written confirmation from the Developer that the actual Build reflects the components of the Design Stage SAP.  Any significant changes to the SAP document at this stage may result in a further quotation and invoice.  Minor changes can be made without furtherThe quotation will include the provision of As-Built SAP and final EPC (Energy Performance Certificate).  The invoice, including EPCs, is required to be paid at the time of delivery of the SAP; and the EPC would then be produced within two days of request, provided the required information has been previously submitted.

Code for Sustainable Homes Assessments are altogether more complex, and as a result take considerably longer. It is not possible to give an exact figure, but clients can, of course, contact our technical department to get advice on specific sites. We are always happy to assist clients to understand what is needed.

Information to Provide

When a SAP calculation is performed the assessor needs full information regarding the dimensions, orientation and configuration of the particular building being assessed. This is best provided in the original soft copy drawing package that is widely used by the draughting industry, but we can also use hard copy scale drawings. PDF and photocopies are not acceptable, since the drawings must be to scale. Construction details of these elements, where known, should also be supplied.

A schedule of the windows, rooflights and external doors, giving sizes, construction, or, if available, the manufacturers determined uvalue.

The make, model and design of the space heating and water heating and storage systems, and the ventilation system (if one is proposed).
